Storing personal passwords/passphrases

You can store personal passwords and passphrases in your Private Vault, but note that these will not be backed up and MobilityData is not responsible for their loss if it should occur. In other words, do not rely on 1Password as your sole password manager for anything outside MobilityData. See How to redeem your free 1Password Families membership to create your own free, personal 1Password account.

Resetting your password

Contact the IT Security Manager to begin the process. You cannot do it on your own.

Changing your password

You can change your 1Password master password yourself by either:

On the native application on your Mac, go to the 1Password menu > Preferences > Accounts tab, then click Change Master Password.

Log in to your account at https://mobilitydata.1password.com/, then click on your name on the top right, select My Profile, and lastly click on Change Password on the left.

Shared vault

You will find a Shared Vault inside 1Password called INTERNAL TEAM where we store information that can be shared with everyone, like Wifi passwords, or online services.

Warning

Do not store your passwords in this vault, or anything sensitive.

How to safely share a password

Sharing passwords/sensitive information long-term

Please always inform the IT Manager when you share any sensitive information with people outside this organization so a take note can be taken for future reference.

Warning about sharing sensitive information with people not part of MobilityData

You should never have to share any passwords with anyone. The only person who needs to know these passwords is you, and you alone.

In other words, if you are being asked to share your passwords, you should refuse. The only exceptions are if someone on the Executive/Operations team of the IT Manager, or if you need to share it with an external resource for justified reasons and approved by your team leader or someone on the Executive/Operations team.

Also, please do not share anything sensitive over email, Slack or any chat platform. This includes API keys, tokens, certificates, ID numbers, membership numbers, credit car numbers, and so on.

Please always inform the IT Manager when you share any password/passphrase and for how long with someone not part of MobilityData so a note can be taken for future reference, if case of any breach or incident were to occur.

You have two options to share passwords:

1Password has a sharing tool built into the application. We recommend that you specify the email of the recipient and set the limit to either 1 view or 1 hour.

Warning

Please note that this will share the entire 1Password entry, make sure no other sensitive data is being shared at the same time.

Alternatively you can use pwpush.com to send any sensitive information.

TouchID

It is recommended you setup TouchID on your computer and inside 1Password. This is, of course, entirely optional.

Setup TouchID on your Mac

You can do this in Apple menu > System Preferences > TouchID. You will need your user password for this. macOS will prompt you for your password every two weeks or so, or when the computer is restarted.

Setup TouchID in 1Password

Open the preferences (1Password menu > Preferences, or Cmd + ,), then in the Security section check TouchID and enter your 1Password master password. 1Password will ask you every week (or whatever time period you specify) to enter your master password, or when the computer is restarted.

Note

Your fingerprints are securely stored locally and never leave the computer. Nothing is sent to Apple or any other entity or individual.

How to redeem your free 1Password Families membership

With your MobilityData 1Password work account comes a free family membership for up to 5 people. The contents are entirely disctinct from your work account and cannot be accessed by anyone but you and the peope you choose.

Here is how to create it:

  1. Sign in to your work account on the website.
  2. Click your name in the top right and choose My Profile.
  3. In the Free 1Password Families Membership section, click Redeem Now.
  4. To sign up for 1Password Families and redeem your free membership, click Sign Up.
  5. To apply your free membership to an existing account, click Apply to existing account. Then sign in to your family account and click Apply. If you sign in to an individual account, you’ll be asked if you want to convert it to a family account.

Your 1Password Families membership will remain active as long as it’s linked to your work account. If you’re preparing to leave MobilityData, you can unlink your family account and add a payment method to keep using it. It may take 24-48 hours to unlink.

If you are leaving MobilityData and you have a linked family account…

In case you have created a free 1Password Families account under MobilityData's work account, this is how you should proceed to unlink it from the organization and keep using it after you leave.

To start your subscription for your family account:

  1. Sign in to your business account.
  2. Click your name in the top right and choose My Profile.
  3. In the Free 1Password Families Membership section, click Unlink Account. Your family account will become frozen, but it won’t affect your information in 1Password.
  4. Add a payment method.
  5. If you want to upgrade to 1Password Teams or switch to an individual account, you can change your 1Password account type.
